Reconciliation
Transactions from a bank connection belong to your bank, so you can’t delete them from Edit Transaction. Most of the time that’s what you want. But now and then a bank sends something wrong: the same payment twice, a card hold that was never charged, or a pending payment that sits there for weeks. Reconciliation is where you clean those up, without losing the ability to undo it.
When to use it
Section titled “When to use it”- The same payment shows up twice. For example, a card payment arrived once while it was pending and again when the bank booked it under a different ID. Merge the two into one.
- A transaction shouldn’t be there at all. A hold that the bank released, a test charge, or a row from a file you imported into a connected account by mistake. Remove it.
- A pending payment never cleared. If you import pending payments from Enable Banking, some can stay pending long after the bank has booked or dropped them. The Stuck pending tab helps you sort them out.
- You removed or merged the wrong thing. Restore it from History.
Reconciliation only works on bank-connected transactions. Transactions in accounts you track by hand can be edited and deleted as usual.
Open Reconciliation
Section titled “Open Reconciliation”- In the sidebar, open Transactions, then Optimizations.
- Click the Reconciliation card.
The Transactions reconciliation page has three tabs: Transactions, Stuck pending and History. When you have stuck pending transactions, the Stuck pending tab shows how many.
Merge duplicates
Section titled “Merge duplicates”- On the Transactions tab, find the duplicates. The filters panel on the left works like the one in Search and filter. Planned transactions aren’t listed.
- Click each duplicate to select it. On this page, clicking a row selects it instead of opening it.
- Click Merge.
- In Merge transactions, click the transaction you want to keep. It’s marked Keep, and the others are marked Remove. Details that are the same for all of them, like the time or status, are listed once at the top.
- Click Merge and remove. The button shows how many transactions will be removed.
When you merge:
- One transaction stays, the rest are removed. Removed transactions disappear from your lists and stop counting in your stats. The account’s balance still comes from your bank.
- Links move to the one you keep. If a removed transaction was in a budget or a transaction group, or linked to a subscription, the kept transaction takes that link over. If the kept transaction already belongs to a different budget, group or subscription than a removed one, the merge is refused. Put them in the same one first.
- Category, payee, note and tags aren’t copied. The kept transaction keeps its own. If the removed one had the better category or note, pick it as the one to keep, or copy the details over before merging.
What you can merge
Section titled “What you can merge”You can merge 2 to 4 transactions at a time. They must all be:
- bank-connected;
- on the same account;
- not planned;
- not part of a linked transfer. Unlink the transfer first;
- not linked as a refund. Unlink the refund first.
If your selection doesn’t qualify, the Merge button is disabled. Hover it to see why.
Remove transactions
Section titled “Remove transactions”- On the Transactions tab, select the transactions to remove, up to 500 at a time.
- Click Remove.
- Confirm with Remove.
Removed transactions disappear from your lists and stop counting in your stats. The account’s balance still comes from your bank. The same rules as for merging apply, except that the transactions can come from different accounts.
Removing also takes a transaction out of any budget, transaction group or subscription it was linked to.
Resolve stuck pending transactions
Section titled “Resolve stuck pending transactions”This tab only matters if you connected a bank through Enable Banking and turned on Import pending bank transactions. A pending payment normally turns into a booked one within a few days. The Stuck pending tab lists the ones that are still pending more than 7 days later.
A payment usually gets stuck for one of two reasons:
- The bank booked it under a new ID, so MoneyMatter couldn’t join the two, and you now have a pending copy and a booked copy.
- The bank dropped it. A hotel or car-rental deposit, for example, is often released without ever being charged.
- Open the Stuck pending tab.
- Click Check with bank. MoneyMatter syncs the affected accounts and looks again. Transactions your bank has booked since then disappear from the list.
- For each transaction still listed, read its Status and pick an action. See the table below.
The Status and actions only appear after you check with your bank, so you don’t act on transactions the bank has already settled. Hover a status to see what it means.
| Status | What it means | What to do |
|---|---|---|
| Possible duplicate | A booked transaction on the same account, from the same payee, of the same type and dated up to 5 days later looks like the same payment. | Click Merge. The booked transaction is already picked as the one to keep. |
| Not found at bank | Your bank has no booked copy. It may be a released hold. | Click Keep as booked if the charge really happened. Click Remove (the bin button) if it didn’t. |
| Too old to check | The transaction is older than about 90 days, which is as far back as your bank shares. | Same as Not found at bank: keep it if the charge happened, remove it if it didn’t. |
Keep as booked marks the transaction as booked, so it leaves this list and stays in your transactions.
If you remove a transaction here and your bank books it later after all, it comes back on its own as a booked transaction.
When every stuck transaction is older than 90 days, there’s nothing to check, so the statuses and actions show straight away.
The daily reminder
Section titled “The daily reminder”Once a day, MoneyMatter checks for transactions that have been pending for more than a week. If it finds some, you get a notification: Some card payments haven’t cleared. Click it to open the Stuck pending tab.
You won’t get another reminder while the last one is unread, or until a new transaction gets stuck. The reminder doesn’t sync with your bank. Use Check with bank for that.
Restore from History
Section titled “Restore from History”The History tab lists every merge and removal, newest first. Each entry shows when it happened, whether it was Merged or Removed, the transaction that was Kept (for a merge), and the transactions that were removed.
- Open the History tab.
- On the entry you want to undo, click Restore.
- Confirm with Restore.
Restoring brings back every transaction removed in that entry. They count in your stats again. Keep in mind:
- A merge is undone only on the removed side. The kept transaction stays as it is, so you’ll see the duplicates again.
- Links don’t come back. Budgets, transaction groups and subscriptions that were detached when the transaction was removed have to be set up again.
- The account must still be connected. If you’ve since disconnected the account from the bank, restoring fails with “Can’t restore: the account is no longer connected to the bank.”
